Privacy policy

We practice what we recommend: collect as little as possible, protect what we have, and be clear about it.

Effective date: October 18, 2026

Summary

  • This website does not use advertising trackers, third-party analytics, or tracking cookies.
  • We collect personal information only when you choose to contact us, request a call, or subscribe.
  • We never sell or share your personal information for targeted advertising.
  • We do not use information you submit to train AI models.

Information we collect

Contact form. When you use our contact form, we collect your name, email address, organization name and type, state, areas of interest, and your message.

Requesting a call. When you request a consultation, we collect your name, email address, phone number (optional), organization name and type (optional), your preferred video platform and times, and what you'd like to discuss (optional). We use this to schedule the call and send you a meeting invite. Microsoft (Teams) or Zoom host the call, and their own privacy policies apply while you're on it.

Newsletter. When you subscribe to the Weekly AI Brief, we collect your email address and, if you provide them, your first name and organization type. Every issue includes a way to unsubscribe.

Technical information. Our hosting provider and servers temporarily process technical data such as your IP address to deliver the website and to prevent abuse (for example, rate limiting spam). We do not use it to build profiles.

Free tools that run in your browser. The readiness check, platform picker, AI policy generator, policy gap checker, and redaction tool run entirely in your browser, including their optional AI models, which are served from our own site. What you type into them is not sent to us or stored. If you choose to request a call from your readiness check results, your score and focus areas are added to the request form, where you can review or remove them before sending.

Training videos. Videos on our site don't load until you press play. When you do, the video is served by YouTube (using its privacy-enhanced mode), and Google's privacy policy applies.

Ask Whuey (site assistant)

When you ask Whuey a question, your browser first removes details such as email addresses, phone numbers, and ID numbers. The question is then sent to our server to find relevant pages on this site. If Whuey's AI answers are turned on, the question and the matching page excerpts are also sent to the AI model service we use to write the answer. We don't log or store your questions, and the conversation is kept only in your browser tab until you close it. Please don't share personal or confidential information with Whuey.

How we use information

  • To respond to your inquiry and schedule conversations you request
  • To provide and improve our services if you become a client
  • To protect the security of our website and prevent fraud or abuse
  • To comply with legal obligations

Sharing

We share information only with service providers that help us operate (for example, email and customer-relationship tools), under contracts that require them to protect it and use it only on our behalf, or when required by law. We do not sell personal information.

Retention

We keep inquiry and call request information only as long as needed to respond, hold your call, and maintain business records, typically no longer than 24 months if you do not become a client, and then delete it. Backup copies kept by our website systems are deleted automatically within 180 days. Newsletter subscriptions are kept until you unsubscribe.

Security

We use administrative, technical, and physical safeguards including encryption in transit, access controls, and multi-factor authentication. No method of transmission or storage is completely secure, but we work to protect your information and will notify you of a breach as required by law, including under the Illinois Personal Information Protection Act, Texas Business & Commerce Code chapter 521, and the Florida Information Protection Act.

Your rights

Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information, and to opt out of its sale, targeted advertising, or certain profiling — including under the Texas Data Privacy and Security Act and the Florida Digital Bill of Rights where they apply. We honor these requests for all visitors regardless of state. To make a request, email info@whu-ai.com. We will verify your request and respond within the time required by law. If we deny a request, you may appeal by replying to our response.

Biometric information

This website does not collect biometric identifiers. If a client engagement involves biometric data, we follow the Illinois Biometric Information Privacy Act, the Texas Capture or Use of Biometric Identifier Act, and other applicable laws.

Children

This website is not directed to children under 13, and we do not knowingly collect their personal information.

Changes

We will post any changes on this page and update the effective date.
